Letting go can be hard. Especially if it was our project, company, task, or something else we started. In this blog, let’s explore a crucial aspect of effective leadership: delegation. You might wonder why delegate when doing everything yourself seems faster and easier. Let’s unpack this idea and explore the transformative power of effective delegation and how it can elevate your team and organization.
The Paradox of Control
It’s common to feel that keeping tasks under your control will lead to better results. After all, you know the methods that work best . . . for you. However, the mindset of control can severely limit your team’s potential. While doing everything alone might allow you to go faster in the short term, it does not help you and your organization go further. Delegation isn’t just about handing off workloads; it’s about empowering your team, fostering leadership, and creating a culture of collaboration.
When you fail to delegate, you stifle growth, not only for yourself but for your entire team. A team that lacks autonomy will ultimately lead to stagnation and a lid on collective potential. The question becomes how can I delegate effectively?
Setting the Framework: Build the Playground
Imagine the playground from your elementary school days. Consider this playground as your team’s realm of responsibility. The first step in effective delegation is setting boundaries—the “fence.” Clearly communicate the objectives and expected outcomes. For instance, if you assign someone a project, clarify the desired result but give them the freedom to determine how to achieve it. This setup is crucial; without it, you risk “dumping” tasks, which leads to confusion, team frustration, and inefficiency.
Establishing Benchmarks
Once the fence is built, establish actionable milestones. These benchmarks serve as checkpoints to track progress on the project. You might set deadlines for initial phases, such as completing a project framework by Monday, hitting a certain milestone by Wednesday, and finalizing everything by Friday. This structured approach not only keeps your team on track but also allows you to monitor progress without micromanaging.
Don’t Dump—Delegate
Many leaders make the mistake of dumping instead of delegating. Dumping looks like handing someone a task with no direction, support, or follow-up. Delegation is intentional. It involves a process of equipping and empowering your team.
Leadership expert John Maxwell outlines a five-step delegation process that leads to leader development:
- I do it. – You master the task first.
- I do it, you watch. – Your teammate observes you in action.
- You do it, I watch. – They take the lead while you offer support and feedback.
- You do it. – You trust them to handle the task on their own.
- You do it, and someone else watches. – They now teach the task to another team member.
When your team reaches step five, you’ve moved beyond delegation into multiplication. You’re not just assigning work—you’re developing leaders who will develop others.
